RaptorLead (“we,” “our,” or “us”) is committed to protecting the privacy of our users and their customers. This Privacy Policy explains what information we collect, how we use it, how we protect it, and confirms that your information will not be shared with third parties or used for marketing purposes.

This policy applies to all users of the RaptorLead service, including business owners, technicians, and customers who interact with the system via phone calls or SMS messages.

Information We Collect

We collect only the information necessary to operate the dispatch notification service:

From Business Owners & Technicians (Account Holders)

  • Full name, email address, and phone number (provided during account registration)
  • Company name, trade type, and business timezone
  • Payment information (processed securely by Stripe — we do not store card numbers)

From Customers (Callers)

  • Phone number (captured automatically from the incoming call via caller ID)
  • Voicemail audio recording and its text transcription
  • Name, address, and service details (only when voluntarily provided by the customer in their voicemail message)

Automatically Collected

  • Call metadata (date, time, duration, caller ID) provided by our telephony provider
  • SMS message content exchanged through the dispatch approval flow
  • Browser session data for users accessing the web dashboard (cookies for authentication only)

How We Use Your Information

All information collected is used exclusively for the purpose of operating the RaptorLead service and communicating with customers about jobs they have requested. Specifically, we use your information to:

  • Transcribe voicemails and classify service requests using AI
  • Send SMS notifications to business owners about incoming service requests
  • Send SMS notifications to technicians with job assignment details
  • Contact customers to confirm that their service request has been received and a technician is being scheduled
  • Display dispatch and job information on the business owner’s web dashboard
  • Generate weekly business performance summary reports
  • Process subscription payments through our payment provider (Stripe)
  • Authenticate and secure your account

We do not use your information for marketing, advertising, or promotional purposes. Information gathered is used only to contact customers and communicate information about the jobs they have requested — never for marketing.

Information Sharing & Third Parties

We do not sell, rent, trade, or share your personal information with third parties for their marketing purposes or for any purpose unrelated to delivering the RaptorLead service.

We share information only with the following service providers, strictly as needed to operate the service:

  • Twilio — Telephony, voicemail recording, transcription, and SMS delivery. Processes phone numbers, call recordings, transcriptions, and SMS message content.
  • Anthropic (Claude AI) — Processes voicemail transcription text to classify urgency and suggest technician assignments. Only the transcription text and anonymized business context are sent; no customer phone numbers or personal identifiers are included.
  • Stripe — Subscription payment processing. We do not store credit card numbers. All payment data is handled by Stripe under PCI DSS Level 1 compliance.
  • Supabase — Database and authentication infrastructure with row-level security policies enforcing data isolation between companies.
  • Vercel — Web application hosting. Processes HTTP requests but does not have access to stored business or customer data.

We may also disclose information if required by law, subpoena, court order, or other legal process, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

Data Retention

We retain your account information and dispatch history for as long as your account is active. Voicemail recordings are retained for 90 days and then automatically deleted. SMS message logs are retained for the duration of your subscription.

If you cancel your account, your personal information and dispatch history will be deleted within 30 days of cancellation. You may request immediate deletion of your data at any time by contacting us at the email address below.

Data Security

We implement appropriate technical and organizational measures to protect your information:

  • All data in transit is encrypted using TLS (HTTPS)
  • Database access is protected by row-level security ensuring businesses can only access their own data
  • Two-factor authentication support (TOTP and SMS)
  • API keys and secrets stored as encrypted environment variables
  • Payment processing handled entirely by Stripe under PCI DSS Level 1
  • User sessions expire after 24 hours and require re-authentication

While we take reasonable measures to protect your data, no method of electronic transmission or storage is 100% secure.

Your Rights

You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal data
  • Opt out of SMS notifications by texting STOP
  • Export your dispatch and job history

Children’s Privacy

RaptorLead is a business service not directed at individuals under 18. We do not knowingly collect information from children. If we become aware that we have inadvertently collected data from a minor, we will delete it promptly.

Cookies

We use cookies solely for maintaining your authenticated session on the dashboard. We do not use advertising cookies, tracking pixels, or third-party analytics cookies. No cookies are used for marketing or cross-site tracking.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email at least 7 days before taking effect. The “Last updated” date at the top of this page reflects the most recent revision.
